Introduction
PRIMARY PURPOSE OF THIS POSITION:
To support the bank’s transition to a paperless environment by accurately capturing, analysing and processing financial data in digital format particularly client financial statements. The role involves the use of Excel and analyse financial information for credit assessment purposes. A solid accounting background is essential for understanding financial statements and key financial ratios.
Job description
KEY PERFORMANCE AREAS (KPAs)
1. Administration
• Handling of Applications Received
• Responsible for the handling of applications and documentation received through internal post and faxes from branches and Credit Department which comprises the retrieval of files of existing clients and supportive documentation and forwarding it to the applicable Credit Manager.
• Has to ensure that most documentation is forwarded within 30 minutes of receipt with few comebacks regarding completeness of information.
• Capture and digitize financial and client data from paper documents into banking systems and Excel templates
• Review and interpret client financial statements, including statement of financial position, statement of Profit and Loss and other comprehensive income and statement of Cash Flows.
• Process financial data in Excel using advanced functions and tools. (e.g, VLOOKUP, pivot tables and financial models)
• Calculate and analyse key financial ratios (e.g, liquidity, solvency, profitability and efficiency ratios) to support credit analysis.
• Identify inconsistencies, missing information, or data entry errors and escalate where necessary.
• Receiving credit applications, checking and processing sections 2 & 3 and handover the file to the Credit Manager.
• Handling approved or declined applications, scan and return feedback to respective branches.
• Responding to branch requests provide group totals from shared drive.
• Archiving every 3 – 5 months
o Create new files and split large files
o Pack old files into archive boxes
o Prepare signed archive list and attach CR number
o Create Lospos files for exposures > 2m, scan and save on drive - transition to a paperless environment
Informing Branches about Application outcomes
• Responsible for collecting finalised documentation from Credit Managers and ensuring that most responses are faxed to branches within an hour after it has been received from credit management with proof of fax attached to documents retained.
Filing
• Responsible for filing which comprises:
o The compilation of new files and the placing of documentation on file according to prescriptions
o Filing, including documentation with no files, in cabinets
o Retrieval of files and documentation
o Filing for the Board Credit Committee
o Record keeping of file movements
o On a six monthly basis identifying and handling of old / closed files and documents
• Ensure that most filing is done the same day according to prescriptions with few misfiles or problems to retrieve files.
Diarising
• Responsible for processing documents received from credit managers (Credit Department) to be diarised as follows:
o Recording of follow up dates
o Retrieval of documents and checking of follow up on due dates
o Forwarding of documents to Credit Managers (Credit Department)
o Faxing follow up requests to branches
2. Telephone / Mail Duties
2.1 Handling of Incoming and Outgoing calls and mails
• Ensure that incoming calls at the switchboard are answered quickly, professionally and in a friendly manner, are correctly transferred and that few complaints are received from clients.
• Responsible for ensuring that incoming and outgoing mail is recorded and distributed according to prescriptions.
3. General

Minimum requirements
Qualifications
• Grade 12 with accounting as a subject
• Diploma in accounting required
• Diploma in accounting required
Experience
• 2-3 Years experience in a similar position
• Proficiency in reading and interpreting full sets of financial statements
• Knowledge of accounting principles and financial reporting standards
• Strong Microsoft Excel skills, including the ability to use formulas, data tools and financial analysis features
